Privacy policy

1. Who we are

TrackShield is a service of Ringo B.V. (“we”, “us”, “our”), registered with the Dutch Chamber of Commerce under number 83776362. Our registered address is Fannius Scholtenstraat 61 B, 1051 EV Amsterdam, The Netherlands.

We decide why and how your personal data is used. That makes us the controller under the General Data Protection Regulation (GDPR).

2. Scope

This Privacy Policy applies to personal data we process through this website, trackshield.io, by email, and when you request a catalogue check. The free check itself runs in the TrackShield app at app.trackshield.io. The app is also run by Ringo B.V. and has its own terms and privacy policy. This policy does not cover other websites we link to. Our Terms of use apply to this website.

3. What we process, why and for how long

  • Visiting the website. Your IP address, the pages you request, the date and time, and your browser and device type, kept in the server logs of our hosting provider (Railway), which runs the website in the European Union (the Netherlands). We use them to deliver the site securely and to detect abuse. Legal basis: our legitimate interest in a secure, working website. The logs are kept for a short period, normally no longer than 30 days.
  • The artist search. When you type at least two characters into the “Artist or song” box, your browser sends the text to the TrackShield search service. It is part of the TrackShield app, run by Ringo B.V., and today it answers at trackshield-usage-backend.onrender.com. It returns artist suggestions. The service also receives your IP address with each request and limits the number of searches per IP address, to keep the service available. We use the text only to suggest artists. Legal basis: our legitimate interest in offering the search you ask for. The service is hosted by a hosting provider.
  • Going to the app. When you pick an artist or press Enter, your browser opens the TrackShield app at app.trackshield.io. The artist you picked, or the text you typed, and a marker that you came from this website, are passed in the web address so that the app can start the check. From that point the app’s own terms and privacy policy apply to the check.
  • Requesting a catalogue check. When you request a catalogue check, we receive your name, company, work email and catalogue size, and use them to reply and prepare the check. Legal basis: steps taken at your request before a contract. We keep them for up to 24 months after our last contact. The form is delivered by Formspree (Formspree, Inc., United States), which acts for us and keeps the data only as long as needed to deliver the request to us.
  • Emailing us. Your name, email address, what you tell us and our replies. We use them to answer you. Legal basis: steps taken at your request before a contract, and our legitimate interest in running our business. We keep enquiries for up to 24 months after our last contact.

When a period ends we delete the data or make it anonymous.

4. Cookies and similar technology

This website sets no cookies, loads no analytics and does not track you. It does not use your browser’s local storage either, so there is no cookie banner.

Two outside services are contacted when you use the website. Your browser connects to them directly, so each of them receives your IP address and browser details.

  • Google Fonts. The fonts are loaded from Google (fonts.googleapis.com and fonts.gstatic.com). Google handles this under its own privacy policy.
  • Spotify. When the artist search shows suggestions, the artist photos are loaded from Spotify’s image server (i.scdn.co). Spotify handles this under its own privacy policy.

If we add other tools, we will update this policy first and ask for your consent where the law requires it.

5. Who receives your data

  • Our hosting provider (Railway), which runs the website in the European Union (the Netherlands), for the website and its server logs.
  • The TrackShield app and its search service, run by Ringo B.V., for the artist search and for the check you start there.
  • Google and Spotify, which receive the requests your browser makes to them, as described in section 4.
  • Formspree (Formspree, Inc., United States), which delivers the catalogue check form to us.
  • Our email provider, for the emails we send and receive.
  • Our accountant and professional advisers, where needed.
  • Authorities, where the law requires it.

These providers act on our instructions or under their own terms, and we agree data processing terms with them where the law requires. We do not sell your personal data and we do not share it for marketing.

6. International transfers

Some providers, including Google, Spotify, Formspree and our hosting provider, may process data outside the European Economic Area, in particular in the United States. The same can apply to the hosting provider of the TrackShield app and its search service. Where data leaves the European Economic Area we rely on a safeguard the GDPR allows, such as the EU-US Data Privacy Framework or the standard contractual clauses of the European Commission.

7. Your rights

You have the right to access, correct or delete your personal data, to restrict or object to its processing, to receive it in a portable format and, where we rely on your consent, to withdraw it at any time.

To use these rights, email marcel@trackshield.io. We answer within one month. You can also lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens, autoriteitpersoonsgegevens.nl) or with the supervisory authority in your own country.

8. Security

We use appropriate technical and organisational measures to protect your personal data against unauthorised access, loss and misuse.

9. Professional use

This website and our services are meant for people who make or represent music, and for the businesses around them. They are not directed at children.

10. Changes to this policy

We may update this policy. The current version and its date are always on this page. If we make a significant change, such as adding a new tool, we publish the new version before it takes effect.
